University Policy

Rationale/​Purpose:

To provide the approved Academic and Curricular Repository Action Committee (ACPRAC) policy on Guide promotional pages and when they show up in the Guide.

This policy allows some flexibility to provide promotional content for approved academic programs (plans/sub-plans) that are available in a future term but are not active for the current academic year. This applies only to programs approved late in the academic year and is a small number of cases annually. The original policy for promotional pages and mid-cycle updates was recommended by the Guide coordinators and approved through the ACPRAC.

Scope:

Academic programs approved late in the academic year.

Policy:

  1. Promotional Page Content

    1. Promotional pages are optional and are only created when requested, typically during an implementation meeting after full governance approval.
    2. A Guide promotional page consists of an Overview and a People tab, giving new programs space to advertise and provide contact information for interested applicants.
    3. The expectation is that once a full Guide page is available, the Overview tab will be edited to remove the one-time promotional content.
    4. The limited content on promotional pages articulated that these were not active programs for the current academic year, maintaining an accurate archival document of programs for enrolled students. Historically, these new items would not be incorporated until the new publication (June), so this feature allowed early promotion of these programs.
    5. The Overview tab consists of: 
      1. A structured statement describing when the program starts enrolling students. 
      2. Contact information for the new program.
      3. An overview of the program. 
    6. The content for the promotional page will be supplied by the school/college Guide coordinator to the Office of the Registrar and to Academic Planning and Institutional Research (APIR) by the Guide mid-cycle content deadline (see the Lumen calendar for deadlines).
