Eligibility for use of the Memorial Union and Union South will be in accordance with the general auditorium policies adopted by the Regents and the UW–Madison facility use policy.
Applications for Union facilities will indicate that the event is sponsored by an appropriate University Department or organization.
In principle, the Memorial Union and Union South will be available for eligible events on the same basis as are other university buildings, with charges for services to conform to practices established by the university for other university buildings.
No charge is to be made for the use of a room and its standard equipment if the event is free and open to members of the university community.
Charges are to be made on the basis of labor, time, material, and overhead for special services such as extra attendants, special exhibit or room arrangements, operation after normal hours (currently 7 a.m. to 11 p.m.), etc.
The use of Theater stages and of equipment not a standard part of room equipment are classified as special services and are to be charged for on the basis of the current Memorial Union rental rates.
The use of Memorial Union and Union South rooms without charge to the eligible organizations is limited to uses that are educational in nature, or closely related to the principal education program being sponsored. Facility rental fees for restricted events are to be paid for by the sponsoring organization in accordance with the prevailing rates set forth in the Union rate schedule.
Reservations will be filled in order of receipt, except that priority, as in the past, is to be accorded the following:
Traditional dates for large annual Wisconsin Union Directorate, departmental, and Registered Student Organization events and programs.
Concerts, traveling theater companies, and University Theater productions requesting space in the Union Theater.
Food Catering events. The private dining rooms, Tripp Commons, and Great Hall are normally to be held for food catering purposes. They may be used for other events, but except for major social events as described under V.1, are ordinarily not scheduled for non-catering purposes until approximately one week before the date of the event.
Reservations during the University "closed periods" will be accepted and confirmed without time limitation, subject to the Union's ability to place the facility requested in operation.
Except in unusual circumstances, the Union Theater will be reserved only for groups exceeding 300 in number.
In general, as set forth in the Union constitution, the Union management shall be responsible for the administration of reservation policies affecting all groups using the Union buildings.
The above policies became effective July 1, 1950, and shall remain in effect until modified or repealed by the University Administration.
