The Registered Student Organization (RSO) that is allocated office space within the Student Activity Center (SAC) must hold a minimum number of hours for each space category.
10 office use hours per week for a cubby office
20 office use hours per week for a midsize office
32 office use hours per week for a suite or semi suite office
The RSO offered space in the SAC must post their office use hours outside their office in a manner that is both visible to the public and compliant with the SAC facility use policy.
Suggested display methods include:
White board provided for cubbies
Paper or posters taped to the office door or window
Any external display such as three-dimensional signs or posters must be approved by the Student Activity Center Governing Board (SACGB).
Any display that is found to be in violation of the SAC facility use policy will be removed. The RSO responsible for this display shall be subject to a sanction decided by the SACGB.
The RSO must post contact information, including a phone number and email, which students can use to contact the RSO if they are not present during their posted office hours.
The RSO is responsible for updating access lists with the front desk in a timely manner and replacing lost Wiscards so that their data shows up in the key box reports
The RSO must report any issues with access or the keybox to the Chair or Front Desk to account for in the accountability and usage.
Accountability and Office Use Checks
Office accountability
Accountability will start each academic year on the second Sunday of October
The Vice Chair will notify tenants a week before accountability key box records start
The Vice Chair will analyze the key box report triweekly. The Vice Chair will present this information and any discrepancies to the SACGB every three weeks.
Any checking out of the key overnight will be considered null and not counted within office usage.
If the RSO is below the minimum hours for their space category, then the RSO will be in violation of their office use agreement
For the first infraction in an accountability period, the RSO will receive an email that specifies that they were reported to be in violation of their office use agreement and that an additional violation to the office use agreement will result in a hearing in front of the SACGB.
For the second infraction in an accountability period, the RSO will receive an email that specifies that they were reported to be in violation of their office use agreement. In addition, a hearing will be scheduled with the SACGB where the RSO will be subject to a sanction as determined by the SACGB in a viewpoint neutral manner.
Sanctions for the RSO are in two tiers.
Tier one shall be used for a first offense.
Tier one includes extended warning status, completing make up office hours, a freeze placed on reservations with the front desk, removal of storage space, lockers, cages, and mailbox, and the front desk staff completing a check of the office space.
Tier two shall be used for repeated offenses.
Tier two includes termination of the lease, ineligibility to apply for space in the SAC the following year, ineligibility to apply for the same space category for the following year, moving the RSO to a smaller office space, and loss of after or off hours access.
The RSO can become exempt from the infraction with proper documentation sent to the SACGB Chair and a two-thirds vote of the SACGB.
Proper documentation includes but is not limited to:
Proof of key box or access issues during the time of offense with notification to the Chair (see Office Use Requirements I.2.F)
Proof of office usage beyond what is documented by the keybox
